Event Management (Marketing & Communications) Position Overview: This newly created role of 32 hrs per week is responsible for leading, developing and managing all aspects of Kelmarna's marketing and event programmes. As critical areas for the growth and resilience of the organisation, this role is a key element in nurturing and elevating our stories and experiences to help connect with our community, partners, funders, prospective customers and more. About Kelmarna: Kelmarna Community Farm is an organic farm in central Auckland. Through rebuilding connections between our people and our food, we work to champion and demonstrate a regenerative local food system that supports environmental restoration, climate change mitigation, urban resilience, and community wellbeing. Kelmarna is a registered charity occupying 1.7 hectares of publicly-owned land in Ponsonby, which includes substantial vegetable gardens, food forest, layer hens, and a developing silvopasture for sheep grazing. From this site we run a diverse range of activities, including: Varied volunteering programmes and roles Horticultural therapy for people with mental health needs or intellectual disability Farm education programme for schools Educational workshops for adults Soil Factory, our community composting enterprise On-site Farm Shop Produce sales to restaurants Community events This is a great opportunity to be part of our small, cohesive team, and to contribute to delivering our vision for a more sustainable food system, right in the middle of Auckland. Hours: 32 hours/week, there can be some flexibility with hours, work from home arrangements and start/finish times. 12 month fixed term role. MAIN RESPONSIBILITIES - MARKETING Further develop and implement a cohesive marketing and communications strategy that aligns with our organisational goals. Promote the Kelmarna brand, our activities, kaupapa and core values. Actively identify new marketing and promotion opportunities. Work with the General Manager and any PR volunteers to achieve frequent, timely and positive media. Develop, deliver, monitor, and manage all Kelmarna communications across all our platforms. Manage all aspects of production and distribution of marketing material. Utilise design platforms such as Canva to design required materials. Maintain and update website content. Manage Meta Advertising accounts and Google Business - running relevant ads, tracking performance, managing budgets, and updating assets. Input on and design annual reports. Ensure all communications are clear, accurate, and appropriate for the audiences we engage with. Coordinate with external providers, including any digital, videographers, and IT volunteers for support as needed. Build relationships with partners, local groups and other members of the community. Support the development of joint marketing initiatives. MAIN RESPONSIBILITIES - EVENTS Responsible for delivering and growing the Kelmarna event strategy and calendar. Organise our core event programme: Farm Dinners, Festival and Seedling Sale. Develop our event strategy further to diversify and broaden our event programme. Ensure the strategy achieves our income generation goals, as well as community engagement and education objectives. Deliver events on time, within budget, that meet (and hopefully exceed) expectations. Utilise our event programme to grow awareness of Kelmarna and participation in our activities within the community. Providing all logistical support to the event programme, to ensure effective delivery of outcomes. Set, communicate and maintain project timelines and priorities. Create robust event budgets, managing and updating them on a regular basis to ensure targets and deadlines are met. Use event management booking systems (such as Humanitix) to manage sign ups, guest lists, and communications with attendees etc as necessary. Create and update event procedures as and when required. Conduct post-event evaluations to gather feedback, identify areas for improvement. Generate post-event reports for internal stakeholders and future planning purposes, including the provision of financial reports for each event. Provide on-site management of all events. Ensure on-site leadership and support during events, overseeing setup, registrations, exhibitor/partner coordination, and attendee assistance. Address any logistical issues or emergencies promptly and effectively to ensure a seamless event experience. Manage and support any volunteers involved with event delivery. Develop contacts, partnership and sponsor relationships to secure appropriate support in the realms of financial, product, and expertise. Organise appropriate sponsorship and co-branding of events. Work with a diverse range of partner businesses/event sponsors/other local organisations, as well as volunteers and other staff. OTHER RESPONSIBILITIES - GENERAL Stay up-to-date with news activity and policy developments that relate to our work. Demonstrate excellence in communication on a daily basis by responding promptly to all internal and external correspondence. Attend team meetings and other meetings as appropriate. Person Specification Relevant experience in communications, marketing, and event management. Exceptional communication skills – written and verbal, including an ability to relate and communicate with a variety of people from different backgrounds. Comprehensive understanding of digital marketing systems and tools including Facebook, Instagram, Mailchimp, and Canva. Motivated to work towards targets for the betterment and future resilience of the organisation. Commitment to working in a team and supporting your colleagues to achieve outcomes together. You have professional computer skills – word processing, e-mail and spreadsheet fluency are essential. A commitment to an inclusive community approach, where everyone is supported to contribute according to their ability. A commitment to the kaupapa of Kelmarna – you'll have an understanding of sustainable food systems / food growing / gardening. A bachelor's degree in business, marketing or communications. 3+ years' experience in events and/or marketing roles. Experience in a non-profit or charity setting. CONDITIONS OF ENGAGEMENT 4 days per week (32 hours) 12 month fixed term role Salary $55,000 - $65,000 per annum ($44k - $52k pro-rata for 32 hours), depending on experience Daily lunch is provided when working on site Discounts on Kelmarna produce Working from Kelmarna Community Farm, 12 Hukanui Crescent, Ponsonby, though there can be some flexibility with hours, and work from home options.
