Neptune Pacific Direct Line (NPDL) is experiencing a period of significant transformation. Formed in 2020, Neptune Pacific Line acquired Pacific Direct Line, bringing together two of the South Pacific's top shipping and logistics companies to support the full supply chain of our customers in the region. Job DescriptionIn this role as Imports Coordinator, you will be the face of Neptune Pacific Direct Line, continuing to improve and enhance our customer experience. This position will interact with all functions of NPDL to ensure the smooth and efficient processing of import and export services. This is a fixed-term role for a period of 10 months, ending 31 January 2025. It is based in our Parnell office.
What you will be doing: Develop and maintain collaborative partnerships with internal and external stakeholdersPrepare documentation including arrival notice, delivery orders, invoicesReconciling manifest against Bayplan received and arrange correction with load port and SSC Team if needed.Report discrepancies back to Vessel planner to adjust prior to Bayplan being sent to Port Authorities.Use Excel to obtain vessel and reconcile against BayplanPartner with Container Control to produce Inward cargo report (ICR), to be lodged with Ports, Customs and MPIEnsure timeliness of Inward Cargo Report, to be lodge within 48hrs prior to vessel arrival into New Zealand including check Error message and clear if anyArrange DMV for 24hrs/72hrs DG prior to vessel arrivalRelease cargo to final consignee after confirmation of paymentProcess vessel operator line holds from port terminalsOrganise local cartage and customs clearance if requiredHandle general enquires from customersTimely response times to internal and external stakeholders' emails/ queriesOther duties as requiredQualificationsHere's what you'll bring to the table: At least 2 years' experience in a similar position within shipping/freight (preferable, but not essential)Experience with CargoWise desirable, but not essentialTertiary studies in transportation or supply chain management are highly desiredIntermediate proficiency with Microsoft Office SuiteStrong technical skills and the ability to adapt and learn quicklyAbility to work under pressure and make sound decisions in fast-paced environmentYou will be process oriented with excellent attention to detail. Your time management skills and ability to prioritise will be essential in ensuring outstanding outcomes for the business. You will love working as part of a team and at the same time can also work autonomously to ensure we are meeting deadlines. It goes without saying you will have brilliant communication and interpersonal skills, with the ability to build rapport with internal and external customers. Some flexibility is required as you will need to submit your paperwork 48 hours prior to the vessel's arrival.
