Overview:
We are looking for a dynamic, proactive and detail-oriented General Studio Virtual Assistant to manage multiple client accounts, deadlines, and tasks while maintaining high standards of communication and quality. This role involves a mix of client-facing responsibilities, administrative tasks, and support for content production teams.
About the Role
Compensation: 2000AUD/month (paid twice a month)
Schedule: Monday to Friday, 9 AM - 5 PM Brisbane Time (40hrs/week)
Availability: Start ASAP
Key Responsibilities:
Client Management & Communication: Proactively manage client communications and reply to emails within 1 business day.
Upload finalized assets to client portals and websites (WordPress for select clients).
Manage client reminders, timelines for revisions, and scheduling of meetings.
Serve as a secondary safeguard for quality assurance (QA) on all deliverables, including checking for typos and content errors in social media assets, transcripts, and videos.
Update client briefs, maintain check-ins with producers, and provide solutions to client concerns.
Task & Workflow Management: Create tasks in ClickUp from templates, ensure accurate briefings, and monitor progress.
Implement KPIs and track weekly progress for team members.
Follow up on overdue tasks and communicate with producers and team members to meet deadlines.
Prioritize tasks and communicate effectively when unable to complete or move deadlines.
Production Support: Send reminders for episodes and prepare files for production.
Review and QA YouTube edits, social media assets, and client content to ensure requested changes are implemented.
Manage and schedule uploads for podcasts, YouTube, and YouTube Shorts.
Handle Megaphone podcast uploads, ad management, and back-end YouTube tasks.
Organization & File Management: Maintain organized file structures, archive and move files at the end of each week.
Keep runsheets updated and ensure file management across Dropbox and other tools.
General Administrative Support: Manage emails, file correspondence, and respond within 1 business day.
Schedule client meetings, especially end-of-month check-ins, and manage guest communications for podcasts.
Assist with course management and social media tasks when needed.
Technical Skills:
Experience with ClickUp, Notion, Slack, Canva, Dropbox, Zoom, and Gmail Suite.
Familiarity with WordPress for managing blogs and uploads.
Experience with managing YouTube (including video uploads) and podcast platforms such as Megaphone.
Additional Responsibilities:
Provide QA for final content delivery, ensuring quality and accuracy.
Support process improvements by updating SOPs and streamlining workflows.
Tackle client issues proactively and offer long-term solutions for any challenges faced.
