This role involves delivering reliable, confidential, and seamless support to the team. The RLC facilities portfolio includes over 250 buildings, valued at over $500M, spread across the Rotorua district.In this role, you will be responsible for:Management and system administration of all requests for service (RFS) allocated to Property (Facilities), including reassigning tasks to appropriate team members and sending requests to approved contractors.Updating the status and timeframes for completion of requests.Defining and documenting facilities procedures in accordance with agreed methodology.Setting up and maintaining systems for recording facilities capital project renewals and operational portfolio costs.Providing financial administration and support to the Property (Facilities) unit, which includes generating, processing, and receipting Purchase Orders through the EPO system, and raising and processing invoices in adherence with the Procurement Policy.Updating and refreshing the Property (Facilities) online information and communication with the organisation to ensure relevant online information is current and available via Council's Intranet and Council/Committee update reports.Coordinating and facilitating staff training and education on facilities tools and platforms.Providing input into timely, high-quality, action-orientated executive management reports.Maintaining key relationships with other departments or corporate functions.This position closes on 19 January 2025.Te Kaunihera o nga Roto o Rotorua (Rotorua Lakes Council) is committed to working in partnership with Te Arawa, our local iwi.
