We have an exciting opportunity for you to join our team as an Executive Assistant to the Executive Director of Infrastructure Services.The role is critical to the smooth operation of the directorate with key responsibilities such as planning, coordinating events; preparing reports, diary and correspondence management; travel and accommodation arrangements. Establishing and growing relationships with relevant stakeholders at Council and in the community is also an important aspect of the role.To be successful in this role, you will have strong relationship building skills, be comfortable interacting in culturally appropriate ways with people of all backgrounds, and be willing to participate fully in our close-knit team environment. The ability to maintain a high level of confidentiality is a must.As an Executive Assistant, your key responsibilities will include:Prepare communications on behalf of the Executive Director.Handle urgent tasks requiring immediate assistance as directed by the Executive Director.Support meetings by preparing agendas, taking minutes, and tracking action items.Draft and format reports, documents, and correspondence.Act as the first point of contact for calls and visitors.Coordinate corporate reporting for Infrastructure Services, including financials, KPIs, quarterly, and annual reports.Manage and prepare reports for ELT and Council Committee meetings.Ensure compliance with legislative reporting requirements.Coordinate and draft LGOIMA responses for Infrastructure Services.Assist with online purchases and credit card reconciliation.Train staff on file management systems.Support key strategic projects and initiatives within Infrastructure Services.Key requirements of the role:At least 3 - 4 years' experience as a PA/EA to senior management.Substantial experience in office management systems.Advanced MS Office skills.Thorough understanding of confidential nature of role.Good grasp of conflict of interest as it applies to the Directorate and across the wider NCC business.Experience with governance processes in a political environment.We will be interviewing applications as we receive them and may close the role when we have found the right person.About UsJoin the dynamic team at Napier City Council, where we pride ourselves on excellence, integrity, and sustainability, while delivering exceptional customer and community service.
