We are seeking a dedicated and dynamic Executive Assistant to the CEO to join our team. In this pivotal role, you will provide executive-level administrative support while leading a team of 7 exceptional EAs. Your mission will be to ensure efficiency and effectiveness in all areas of administration, enabling our CEO to focus on driving success.
As an integral part of the leadership team, your key responsibilities will include:
Proactive Executive Support: Deliver efficient and confidential support, managing the CEO's diary and preparing daily packs to ensure readiness for all commitments.
Team Leadership: Lead, mentor, and develop a team of 7 EAs, fostering collaboration and high performance to enhance overall team effectiveness.
Communication Management: Handle internal and external communications, managing emails and inquiries professionally and promptly.
Document Management: Maintain filing systems, prepare presentations, reports, and correspondence as needed.
Team Coordination: Understand team priorities by attending key meetings, documenting action points, and assisting with agendas and presentations.
Budget Monitoring: Oversee cost centre budgets and assist with expense and credit card claim procedures.
Travel Arrangements: Coordinate domestic and international travel bookings for the CEO.
Ad Hoc Projects: Take on special projects and provide support to team members as needed.
Sitting in with the Exec Team: Attend weekly meetings and travel to Wellington every second month for a full day with the Exec Team.
Minimum Requirements:
5+ years of EA to CEO experience, in a large corporate environment similar size to Chorus (or bigger).
5+ years experience managing a team.
Proven ability to build strong relationships with stakeholders at all levels.
Excellent communication skills, both written and oral, with a focus on professionalism.
Exceptional time management and strong organizational skills with meticulous attention to detail.
Resilience and the ability to thrive in a fast-paced, dynamic environment.
Proficiency in Microsoft Office applications (PowerPoint, Excel, Outlook) and knowledge of SharePoint, Microsoft Teams, and Diligent Boardbooks.
Familiarity with video conferencing technology and room bookings.
