Executive Assistant – Infrastructure We are looking for a proactive and highly skilled Executive Assistant to provide top-tier business support to our Executive Manager for Infrastructure. This role is vital to ensuring smooth, efficient operations within the team. It combines expert secretarial, administrative, and coordination skills to make a positive impact on the business. You will play an instrumental role in helping the Executive Manager meet key performance indicators and strategic objectives through effective time management, meeting coordination, and overall business support.
Key Responsibilities include Diary and Travel Management: Efficiently manage diary scheduling, travel arrangements, and correspondence.Meeting Coordination and Minutes: Organise meetings, take minutes, draft documents, and manage related correspondence.Reporting and Documentation: Track reporting deadlines for the Infrastructure team, coordinate and assist with reports for council and community board meetings, and ensure follow-up actions are completed.Customer Enquiries: Serve as the first point of contact for internal and external enquiries on behalf of the Executive Manager.Team Support: Provide high-quality support for team needs, including document filing, data entry, complaints investigations, and coordinating training sessions.Research & Ad-hoc Support: Conduct research as needed to support departmental interests and reporting.Join a team where your skills and initiative are highly valued, and you play a key role in supporting the delivery of essential services to the community.
