About the role:We're looking for an adaptable, proactive Executive Assistant to provide executive level support to the Managing Director, Chief Financial Officer, Board and Gibbons Family Office.In this role, you'll support, and in some cases manage, a variety of support functions, including communications, marketing, finance, people and culture and project support.
You'll aim to keep operations seamless, anticipate needs, and ensure our leadership can focus on strategic priorities.Key areas of focus:Provide executive assistance to the Managing Director, Chief Financial Officer, Board and Gibbons Family Office, including management of diaries, meetings and travel arrangements.Provide governance support by coordinating and preparing agendas and Board papers, draft minutes and manage actions and resolutions for Board and other meetings as required.Oversee the implementation of the Group's communications plan, including updating social media and websites, managing the use of branding, and production of internal and external newsletters and communications.Assist the Managing Director and Chief Financial Officer in providing people and culture support across the business.Coordinate the staff wellbeing programme.Manage sponsorship requests and coordinate with the Sponsorship Committee.Assist with event planning for internal and external events.Assist with purchasing and invoice approvals and annual budget preparation.About you:You will be an experienced Executive Assistant or in a senior administrative role.Ability to anticipate the needs of an executive leader and provide solutions that align with the organisation's strategic objectives.Motivated self-starter with a can-do attitude.Highly organised with exceptional attention to detail and a commitment to getting things done right.A high level of initiative and motivation, ready for any task that comes your way.Able to juggle multiple priorities and proactively manage workload with a calm and methodical manner.Demonstrated skill in identifying, establishing and maintaining internal and external relationships.Proven experience in communications, both in person and written.With an open, confident interpersonal style, you will build positive and productive relationships with Board members and stakeholders, always conducting yourself with discretion and a high level of professionalism and integrity.Proficiency in Microsoft Office suite and SharePoint and ability to quickly learn new systems.Self-aware and agile, with a credible, self-assured and confident manner.This is a permanent full-time position based in Nelson.How to Apply:Please apply by sending a CV and a cover letter explaining your interest in the position and the skills and attributes you would bring to ****** information on the responsibilities and functions of the role are provided in the job description, which is available on request from ****** close Friday, 31 January 2025.To apply, you must be a New Zealand citizen or hold a valid visa.
