About the role
Reporting to the CEO, the newly created Executive Assistant role will be the force behind the CEO, the Board and its Committees, playing a key role in enabling the delivery of world-leading research outcomes.
Key responsibilities include:
Optimising executive operations – coordinating emails, calendars and meetings, scheduling flights, distributing board papers and filtering information.
Ensuring the efficiency of the office – managing office supplies and equipment, supporting events and workshops, assisting with IT support and coordinating with building maintenance.
People and culture support – a central focus for the team and championing a good team culture by connecting team members from Lincoln, Auckland and Blenheim.
This is a part-time office role (approximately 20 hours per week). There is flexibility around when these hours could be worked.
The ideal candidate
You will have at least three years' experience as an Executive Assistant, managing Word documents and PowerPoint presentations with an excellent knowledge of MS Office, SharePoint and Teams. BoardPro knowledge is desirable but not essential. Experience in a research-led environment would be useful. Minute-taking skills would be an advantage.
Critical is your willingness to take responsibility, your relationship management skills and your ability to operate in a fast-moving environment whilst multi-tasking.
Bright, articulate and astute, you will be a clear communicator with good written communication skills.
