The Temporary Executive Assistant works closely with the Change Manager, assisting with short term administrative and project requirements to carry out daily management of change management matters. The position offers approximately 30 hours per week with some flex needed in fixed term capacity of approximately six-eight months duration.Key Responsibilities of the role include:Provide exceptional executive support, perform all administrative tasks in a timely and professional mannerDiary management, act as first point of contact for all Change Manager enquiriesArrange and coordinate meetings, organise catering, and book accommodation and facilities as requiredPrepare agendas, take minutes, distribute and follow up on action pointsProject work, prepare reports and proposal documents as directed for change management processesGeneral administrative and secretarial duties to support Change ManagerNga pukenga me whai | The successful candidate requirements:A relevant professional qualification in administrative/secretarial support, or similarPrevious experience providing executive administrative support to a senior leaderExcellent organisational skills, ability to operate and prioritise conflicting demands in a very busy environment to complete deadlines and responsibilities requiredMaintaining a high level of confidentiality, this is keyExcellent note taking, transcription and computer literacy skillsProficiency in all Microsoft Office functionsPossess strong and effective communication skillsPrevious experience working in a diverse organisation in a similar roleStrong relationship and network managementUnderstanding of tikanga MaoriYou will be professional, trustworthy, confidential, and have excellent time management and attention to detail.
