About the Role This is a newly created opportunity for an experienced Executive Assistant to join our Auckland office. You will play a pivotal role in providing efficient, effective administrative and operational support to the New Zealand General Manager (GM).
This role is ideal for someone who is confident in establishing relationships at all levels and feels comfortable working in a dynamic environment where the General Manager may not always be in the office.
This role will be responsible for:
Providing comprehensive administrative support to our General Manager, including but not limited to scheduling meetings, inbox and diary management, and preparation of documentsOrganisation of GM travel plans and also support the wider Senior Leadership Team with travel plansCollaborating with relevant individuals to drive new initiatives forward, especially in the GM's absenceCoordination and running of any Senior Leadership Team offsite events from beginning to end to ensure everything runs to plan or is adapted accordinglySupporting Strategy and Internal Communications lead in collating information from stakeholdersPersonal administration support including family travel and calendar managementWork with Facilities Manager and Sustainability team members to make sure the offices are comfortable and welcoming places for staff to workOffice management including; maintenance, regulatory inspections, cleaning, security, waste removalPreparation of presentations and reports as requiredProcessing of expensesAbout You As an ideal candidate you will have an outstanding ability to read between the lines and manage up. You'll be proactive in your approach, have a keen eye for detail, have an exceptional ability to coordinate multiple stakeholders and drive initiatives.
Whilst we don't need a computer whiz, we would need you to have at least intermediate to advanced skills in the Microsoft Office suite as this is what we predominantly use.
The ideal candidate will be able to plan, coordinate and prioritise in an environment with multiple and sometimes conflicting demands. We would love to have someone to join that has previous experience working closely with leaders in a start-up business. Whilst DUAL is a well-established business, the heart, pride, and investment in the success of this business is like that of a start-up.
Above all else, this position requires a sense of humour, ability to think on your feet, speak openly and operate with integrity!
