DCE Executive Assistant

Position purpose
The DCE Executive Assistant is responsible for providing executive level support to the Deputy Chief Executive,
including secretarial services, diary management, agenda preparation and briefings, and general office
administration support.
This role will work closely, and flexibly, with the other roles in the DCE Office to ensure that the Group has the full
range of business management, coordination and administrative support required to operate effectively and
efficiently.
Key Accountabilities and Outcomes
• Provide proactive executive administration and support including:
o Managing the diary and inbox of the Deputy Chief Executive, scheduling all meetings, resolving diary conflicts, and prioritising their time appropriately
o Preparing confidential documents for the Board, subcommittees, and the Executive
o Preparing messages and ensuring appropriate avenues for communication to staff and external stakeholders
o Ensuring matters receive the appropriate level of escalation and risk mitigation
o Coordinating management team meetings and agendas and ensuring action points are managed
o Proactively anticipating information needs and drafting responses to queries and requests
o Ensuring adherence to relevant delegation requirements and processes
• Liaise with the Enterprise Travel team to ensure travel logistics and bookings for the Deputy Chief Executive are arranged and appropriate documentation supplied.
• Liaise with external stakeholders and providers as required to ensure timely and accurate provision of information, support, and problem solving.
• Establish, build, and maintain strong working relationships with all external agencies and internal stakeholders including Executive team members and staff across ACC.

• Arrange and organise meetings, presentations, conferences, and workshops including venues, catering and all associated documentation.
• Collect data and prepare special reports, particularly those of confidential nature.
• Provide advice and support to the Deputy Chief Executive on the appropriate application of policies and procedures.
• Work within the five lines of assurance to provide assurance that risks are being managed effectively.
• Strengthen our safety culture by role modelling health and safety best practice.
• Champion opportunities to embed Whaia te Tika and to promote diversity and inclusion.
Experience and Qualifications
• Extensive experience in a related role in a large corporate or government organisation, supporting Executive management
• Proven experience providing advice, guidance, and support to senior managers
• Experience working corporate environment at a senior level and the ability to manage issues discreetly and tactfully
• Experience coordinating across large teams to ensure cohesion
• Excellent communication and interpersonal skills
• Advanced computer skills including sound knowledge of, and proficiency in Microsoft Office, including Outlook, Word, Power Point and Excel
• Ability to work calmly under pressure, and work without close supervision
• Proven ability to build strong relationships with key stakeholders
• Proven ability to prioritise, plan and co-ordinate activities/resources to achieve desired outcomes
• An enthusiastic, open, and positive attitude is a must
