Role summary
We are seeking an experienced and proactive Event Manager to lead the planning, coordination, and execution of our MoPed (Marketing Professionals Bay of Plenty) events and growth this professional networking group.
MoPed is a committee led network with the purpose of connecting Marketers, sharing knowledge and supporting each other to grow marketing competency in the Bay.
The ideal candidate will be skilled in event logistics, sponsorship management, committee support, and stakeholder engagement to deliver awesome experiences for our attendees.
This role requires strong organisational and communication skills.
Experience in event planning/project management or someone who is part of the local marketing community would be preferred.
Key responsibilities
Event planning and management
Plan, coordinate and execute regular events (e.g., quarterly meetings, workshops).
Meetings to help co-ordinate MoPed's involvement in DayBreak – Festival of Innovation.
Handle all event logistics, including venue selection, vendor management, catering, transportation, and on-site setup.
Develop and manage event timelines and budgets.
Oversee event registration, ticketing systems and meet/greet attendees with a warm smile.
Promote events via social media and outreach campaigns.
Pre-event communication with sponsors.
Sponsorship and stakeholder engagement
Identify and secure sponsorships to support event funding.
This may be done in collaboration with the committee.
Ensure sponsors are communicated with regularly, with support of the committee.
Managing our partnership with the Marketing Association.
Committee and administrative support
Organise and document committee meetings, including preparing agendas and minutes.
Handle financial administration, such as invoicing, payments, and budget tracking, with support from other committee members.
Communications and outreach
Manage email campaigns (Mailchimp) and maintain and grow our social media presence.
Summarise events for committee meetings.
Liaise with website development partners for website updates.
Qualifications and skills
Proven experience in event planning, project management, or a similar role.
Strong organisational and multitasking abilities.
Excellent verbal and written communication skills.
Proficiency in industry tools like Mailchimp, Google Workspace, event management platforms and social media.
Financial literacy, including budget management and invoicing.
Ability to work both independently and collaboratively.

This is a flexible position; apart from event attendance, it can work around other commitments.
Contract terms: Fixed-term or ongoing, based on performance and agreement.
Fee structure:
Managing 1–2 events, associated administrative responsibilities, including DayBreak (annual).
Minuting and following up 1-2 committee meetings per quarter.
Seeking sponsors and attending 1-2 sponsorship meetings per quarter.
Include DayBreak once per year.
Managing MOPED Bank Account.
Working with Chair and committee.
Location: Remote work, with occasional in-person requirements based on event or meeting needs.
