Toitoi - Hawke's Bay Arts & Events Centre's vision is to be the most vibrant and significant arts, culture and events facility in New Zealand. To support us in these goals, we are looking for an Event Coordinator to assist with the coordination and delivery of events for Toitoi. This is a fixed term role, working full-time from October 2024 through to June 2025. From June 2025 the role will be part time at 16 hours per week, 4 hours per day from Tuesday to Friday each week until August 2025. This role is part of the Community Wellbeing & Services Group. The Group includes Libraries, Community Centres, Sports Centre, Aquatics Hastings, Social & Youth Development and Toitoi Hawkes Bay Arts & Events Centre. The purpose of the Event Coordinator role is to work directly with Toitoi clients to coordinate and deliver their events, ensuring consistent high-level service delivery and excellence in customer service. The Event Coordinator will be responsible for rostering all event staff including Front of House and Bar staff while also developing relationships with clients to increase occupancy with customers and stakeholders. This position requires a high standard of communication, multi-tasking, empathy and customer service skills, together with a keen eye for detail. Your day-to-day tasks will include: Operating in conjunction with the Events Manager, to ensure every event is well planned and all necessary requirements and resources (including staffing needs) are pre-arranged and checked. Coordination and delivery of a portfolio of events allocated by the Event Manager, utilising the Ungerboeck system for event documentation. Floorplan and Front of House briefing creation for events.Creation of Front of House briefing sheets for events. On shift front of house management, alongside assisting with bar management duties such as financial reconciliations and stock control. Regularly seek and monitor client / customer feedback, to ensure we continue to provide a high quality of services to our customers The successful candidates will have: Experience working within an events team, ideally in the MICE industry. Proven customer focused approach when dealing with all stakeholders, with a focus on delivering and enhancing customer experiences. Well-developed written and oral communication skills Sound organisational skills with the ability to manage multiple projects and prioritise tasks and initiatives from inception to conception Experience working with event management systems (ideally Ungerboeck) and venue booking systems and procedures Sound knowledge in food and beverage management.
