Environmental Remediation Project Coordinator/Project Controller

Position Overview
The Environmental Remediation Project Coordinator/Project Controller will be responsible for supporting the efficient operation of large-scale environmental remediation projects. They provide project management support for multi-disciplinary project teams including project controls, quality assurance, multi-party site representation and coordination, subcontractor coordination and management, and other project-related administrative functions.

Assist project manager and client with long-term program implementation schedule, ensuring regulatory requirements are met.
Assist project manager and subcontractor with resource-loaded schedule, estimates to complete, percent complete, budgeting, and forecasting.
Schedule project meetings on behalf of the project manager and client, prepare agendas with the support of the project manager and client, attend meetings, and maintain notes during and after meeting.
Create and maintain action item lists; remind team members of upcoming deadlines.
Assist PM to prioritize program goals, tasks, and employee resources.
Review technical work products developed by technical staff prior to submittal to ensure clarity and completeness.
Create and maintain processes to track deliverables, employee resources, and project action items to ensure deadlines and regulatory requirements are met.
Manage project controls subcontractor and assist with budgeting, forecasting, invoice and expense approvals, review weekly labor charge reports and prebills.
Prepare quarterly financial reports as requested.
Manage annual budget request forms, signatures, and financial bookings.
Manage project documentation and files, including coordinating contract negotiations, assisting with requests for proposals (RFPs) and bid reviews, while maintaining a digital file system.
Manage subcontractors to ensure insurance requirements are met and certificates of insurance (COIs) are maintained.
Ensure compliance with Quality Management Plan (QMP), Quality Assurance Project Plan (QAPP), and other project quality assurance documents.
Manage quality assurance by organizing annual review of quality system, performing quarterly checks, scheduling internal audits, and following up on audit findings.

Specific Experience and Skills

Five years of experience as a project coordinator for large scale remediation projects or similar position.
Prior experience working in the architecture, engineering, and environmental consulting industry is preferred.
Strong knowledge of Office 365 products specifically Microsoft Word, PowerPoint, and Excel including formula writing, applying styles, formatting, proofreading, photo editing, pivot tables, and use of advanced features.
Experience utilizing PDF software (Adobe or Bluebeam) for document converting, bookmarking, watermarking, creating table of contents, hyperlinking, signatures, etc.
Excellent written and verbal communication skills.
Highly organized with a strong attention to detail.
Strong interpersonal skills.
