We also assist in opportunity management and customer nurturing.Role Purpose:This role manages the technical onboarding of our new agency clients including HubSpot set-up, and agency technical set-up. This role also handles special project requests from clients and prospects for one-off marketing tasks which commonly include:Website design and build (on HubSpot or WordPress).Custom workflow creation (HubSpot).HubSpot customisation.Role Description:This is a full-time on-site role for a Digital Project Manager/Coordinator at Vanguard 86 located in New Plymouth. The role will be responsible for technical onboarding, project scoping, resourcing, and client communication. The role involves overseeing and coordinating projects, ensuring timely completion, budget management, quality control, and optimising processes.The role entails:Project Planning: You work with clients and internal teams to understand project requirements, objectives, and timelines. You will develop project plans, including defining tasks, timelines, and resource allocation.Scoping and quoting: You scope the project requirements, quote for resources, time, and reworking. You will create deals to track opportunities and raise payment links - as well as liaise with the general manager to ensure efficient invoicing.Resource Management: You will allocate resources such as staff, budget, and equipment efficiently to meet project requirements. You will ensure that the right people are assigned to the right tasks (via our internal project management tool) and that everyone has the necessary resources to complete their work. You will work with our in-house graphic designers, copywriter, and developer as required and also seek outsourced resources as needed.Team Coordination: Facilitate communication and collaboration among team members, ensuring that everyone is aligned with project goals and deadlines. You will schedule regular team meetings, provide updates on project progress, and address any issues or concerns that arise.Risk Management: Identify potential risks and develop strategies to mitigate them. This may involve anticipating challenges such as budget overruns, timeline delays, or scope creep, and implementing contingency plans to address them.Client Communication: Serving as the main point of contact for clients by providing updates on project status, addressing client feedback and concerns, and ensuring that client expectations are met or exceeded.Quality Assurance: You will oversee the quality of deliverables, ensuring that they meet the client's standards and expectations. You will conduct quality checks and review work before it is submitted to the client, and gather feedback for continuous improvement.Project Tracking and Reporting: You will monitor project progress against established timelines and milestones, tracking key metrics such as budget expenditures and resource utilisation. You will prepare regular progress reports for clients and senior management, highlighting achievements, challenges, and areas for improvement.Continuous Improvement: The role requires project performance analysis and identifying lessons learned to improve processes and workflows for future projects.
