Job Description To support Concur Team Lead in overseeing Travel & Expense Management process in accordance with NUS's policies and procedures and effective management of the resources. The role will involve in internal and external audits, process, and system improvements.
Roles and Responsibilities:
Assist the Concur Team Lead (TL) in leading and managing the Concur Central Admin Team (CCAT), in developing and executing operational strategies aligned with organizational goals.
Monitor resource utilization and make adjustments as necessary to meet operational demands and for optimal efficiency.
Provide guidance, coaching, and mentorship to team members and support day-to-day operation.
Foster a collaborative and high-performance team culture.
Possess knowledge of SAP Concur functionalities, and best practices.
Identify opportunities for streamlining and optimizing Concur-related processes.
Ensure that operational processes meet quality standards and compliance requirements.
Identify areas for process improvement and automation to drive excellence and continuous improvement balancing efficiency, controls, and customer experience.
Collaborate with cross-functional teams to integrate SAP Concur into broader business processes.
Implement and monitor key performance indicators to measure process effectiveness.
Stay informed about changes in policies and regulations affecting travel and expense management.
Work with the Support Team to identify and resolve complex issues and act as point of escalation liaising between customers, support teams and other stakeholders to ensure timely and effective resolution.
Generate and analyze reports to monitor team performance, SAP Concur usage, and compliance.
Build & enhance NUS T&E data analytics / dashboard / reporting capabilities for operations.
Provide regular updates to Senior Management on key operational metrics.
Collaborate with partners like the Travel Management Companies, SAP Concur Support and the Bank to resolve technical issues and explore opportunities for system enhancements.
Oversee training programs for Concur users to ensure proper utilization of the platform.
Develop and implement strategies to enhance engagement.
Engage key stakeholders like the Deans, Heads, frequent travellers / claimants and understand their needs and gather pain points and wish lists.
Organize and facilitate meetings with Change Advisory Committee to consult/get buy-in before any major changes are rolled out.
Ensure effective communication and resolution of issues and showcase the achievements through various channels (e.g. roadshows, newsletters) and forums (e.g. Dean's meeting).
Lead/support CCAT related projects and initiatives.
Develop and enhance Knowledge Base Articles published in NUS Concur microsite.
Any other duties as assigned.
Qualifications Degree and above from a recognized university.
Minimum 5 years of relevant work experience in Organizational Excellence or Continuous Improvement initiatives/projects in a fast-paced, high-volume corporate environment.
2 or more years of Concur or similar expense reporting tool experience in a fast-paced, high growth global environment preferred.
Experience in managing/guiding a large team.
Excellent interpersonal and communication skills including previous exposure to senior management and the ability to present information accordingly.
Strong stakeholder management, influencing, collaboration and partnership development skills.
Ability to problem solve independently or through collaborative efforts with various personnel.
Attention to detail with the ability to manage multiple tasks and have strong organizational and interpersonal skills.
Knowledge of basic accounting/accounts payable.
SAP Concur and S/4 HANA working experience is preferred.
Proficient in Microsoft Office applications.
Ability to visualize and communicate data finding insights to various stakeholders.
Passionate in identifying and solving problems.
Self-starter with strong analytical ability and problem-solving skills.
