This role provides critical administrative and support services for the Community Stroke Rehab Service (CSRS) team. The Administrator will also support the Adult Community Therapy Service when needed, ensuring efficient, high-quality customer and staff support.
This position is 30 hours per week, 8am to 4pm over 4 days (flexible).
In this role, you will be responsible for:
Customer and Staff Support:
Provide excellent customer service to both internal and external stakeholders.
Effectively handle inquiries by identifying and addressing customer needs.
Demonstrate courtesy, professionalism, and confidentiality, adhering to the Privacy Act.
Administrative and Secretarial Duties:
Process referrals from the Adult Community Referral Centre following service protocols.
Maintain accurate electronic and physical records for ease of access.
Prepare and distribute meeting agendas and minutes on time.
Manage data entry in the Patient Management System (SiPICS) for community visits and internal referrals.
Coordinate office supply orders and ensure office equipment maintenance.
Data Management:
Ensure timely and accurate data entry for client contacts, discharges, and statistics.
Compile statistical reports, including waitlists, for appropriate distribution.
Other Duties:
Complete additional tasks as directed by the Clinical Manager.
Uphold a professional attitude and adhere to team policies.
Participate in quality initiatives and ongoing professional development.

Essential:
Proven experience as an administrator within a complex organisation.
Strong computer skills, including Word and Excel.
Client-focused with excellent organisational skills.
Ability to work independently and as part of a team.
Strong communication skills, both verbal and written.
Knowledge of the Treaty of Waitangi, Maori, and other cultural considerations in health contexts.
Excellent time management skills.
Desirable:
Prior experience in health or community services.
Proficiency in the patient management system (SiPICS) and HCS.
Excellent document creation skills.
Typing speed of 60-70 WPM.
