Key Responsibilities: Office Coordination: Oversee daily office operations, including managing office supplies, equipment, and facilities to ensure a well-functioning workspace.
Administrative Support: Provide comprehensive administrative support to the team, including scheduling meetings, managing calendars, preparing documents, and handling correspondence.
Reception Duties: Serve as the first point of contact for visitors and callers, providing professional and courteous assistance.
Data Entry: Maintain accurate and up-to-date records, databases, and filing systems, ensuring confidentiality and security of sensitive information.
Communication: Handle incoming and outgoing communications, including emails, phone calls, and mail, ensuring timely and effective communication within and outside the organisation.
Event Coordination: Assist in organizing company events, meetings, and conferences, managing logistics and ensuring successful execution.
Financial Tasks: Support basic financial tasks such as processing invoices, expense reports, and assisting with budget tracking.
Project Assistance: Provide administrative support for special projects and initiatives as needed, ensuring timely completion and adherence to project goals.
Qualifications: High school diploma or equivalent; additional qualifications in office administration or a related field are a plus.
Strong organisational and multitasking abilities.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment.
Attention to detail and accuracy in data entry and document preparation.
Ability to handle sensitive information with discretion and maintain confidentiality.
Customer service orientation and professional demeanor.
Previous experience in an administrative or office support role is preferred.
