Office Management (Administration & Office Support)
Tradepass is a management group and holding company responsible for the governance and day to day management of a business portfolio supporting Falcon Electrical, Power Assemblies, Complete Network Solutions, Coleridge and Demand Electrical. With our head office in Napier, we are seeking a motivated and detail-oriented Administration Manager to join our team. Reporting into the Group Financial Controller, you will play a crucial role in managing the administration office, including accounts payable and accounts receivable, systems administration and fleet management.
Key Responsibilities:
Manage the day-to-day administration of the Napier branch and collaborate with team members.
Maintain systems and processes for continuous improvement.
Assist with HSEQ administration as required.
Manage job and project billing alongside the Accounts Receivable team.
Answer incoming calls and resolve inquiries appropriately.
Oversee vehicle fleet management, including record-keeping and reporting.
Monitor servicing and repair needs for vehicles and equipment.
Arrange bookings and deliveries to service providers as needed.
Support the Group Financial Controller with general administrative and accounting duties.
What We're Looking For:
Valid NZ driver's license and a Certificate in Xero or higher.
Intermediate level proficiency in MS Excel; simPRO certification is a plus.
At least 3 years of proven administrative experience.
A solid understanding of Health & Safety legislation, policies, and procedures.
Exceptional organisational and time management skills with high attention to detail.
Strong interpersonal skills, problem-solving abilities, and negotiation skills.
