Operating since 1994, Home Support North (HSN) is the largest provider of home and community support in Northland.
We have offices in Whangarei and Kerikeri with a staff compliment of approximately 300.
We are contracted to the Ministry of Health, Northland District Health Board, Ministry of Disabled People (Whaikaha) and ACC to supply home based support (home care and personal care) to disabled people of all ages in Northland.
The majority of our clients are over 65 years old and have an age-related disability.About the role:The Administration & IT Support Officer provides key support to the day-to-day operations of our office.
This includes general administrative duties that ensure business equipment/supplies, the phone system and office infrastructure is fully functional and maintained.
This role acts as a key point of contact for both internal and external stakeholders, answering calls and monitoring any centralized email.
Basic IT support is provided to the wider team in this role, as well as providing direct support to the Business Manager.Administrative Support:Prepare and proofread documents, reports, and presentations for internal and external use.Handle incoming calls, emails, and other communications; respond promptly or redirect as necessary.Assist with the coordination of events, meetings, and travel arrangements for the Executive Team.Manage the Vehicle Fleet booking system.Work with the external supplier to manage the VOIP/Cloud phone system.Greet visitors and ensure they are directed to the appropriate staff.Ensure office space is tidy, welcoming, and conducive to productivity.IT Support:Provide basic IT support to staff, including troubleshooting minor hardware and software issues (e.g., computers, printers, and network connectivity).Assist with setting up new devices, ensuring all software is installed and up to date.Serve as a point of contact for external IT vendors and contractors for larger issues.Assist in maintaining the company's IT infrastructure, including monitoring security software, backups, and data protection protocols.Maintain and update internal databases, systems, and software applications used by staff.Reception Duties:Greet visitors and ensure they are directed to the appropriate staff.Answer phone calls, take messages, and respond to general inquiries.Monitor and manage general email inboxes.Ensure office space is tidy, welcoming, and conducive to productivity.Business Manager Support:Assist the Business Manager in preparing materials for Board meetings, including agendas, minutes, reports, and presentations.Take minutes during Board meetings and assist with post-meeting follow-up tasks.Help coordinate logistics for Board meetings, including arranging venue, catering, and technical setups for virtual meetings.To be successful in this role you will hold:A high degree of computer literacy.Certificate, Diploma or relevant certifications in IT support or administration preferred.Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with basic office hardware (computers, printers, phone systems).A full and current Drivers Licence.A minimum of 2 years of experience in an administrative role with exposure to IT support.Experience supporting senior staff or Board members is a plus.Strong written and verbal communication skills, with the ability to interact effectively with staff, Board members, and visitors.Exceptional organisational and time management skills, with the ability to prioritize tasks and handle multiple responsibilities.Ability to handle sensitive information with professionalism and confidentiality.If this sounds like you then click the apply button.Your application will include the following questions:Which of the following statements best describes your right to work in New Zealand?Do you have a current New Zealand driver's licence?
