In this role, you will work remotely from your home in Dunedin, Otago, and be essential in managing our vendor payments and ensuring the accuracy of financial records. You will be responsible for maintaining the integrity of our financial processes while contributing to a positive and efficient work environment. Key Responsibilities: Invoice Processing: Accurately review, code, and process vendor invoices and payment requests in compliance with company policies and accounting standards. Data Entry: Maintain accurate records in our accounts payable system by entering invoice data, updating payment statuses, and ensuring all supplier records are current. Vendor Communication: Serve as a point of contact for vendors regarding invoicing inquiries, payment status, and discrepancies; ensuring prompt response and resolution. Payment Scheduling: Prepare and execute scheduled payments while adhering to payment terms and maintaining strong cash flow management. Reconciliation: Assist with monthly reconciliation of accounts payable with general ledger accounts, ensuring discrepancies are investigated and resolved in a timely manner. Reporting: Generate and maintain periodic reports on accounts payable activities to assist management with financial insights and discrepancies. Compliance: Ensure compliance with company policies and procedures for all accounts payable transactions while adhering to relevant legal regulations. Process Improvement: Identify opportunities for process improvements, and provide innovative solutions to streamline workflows and enhance accuracy. Collaboration: Work closely with the accounting team and other departments to facilitate smooth operations and enhance cross-departmental communication. Requirements: Education & Experience: Minimum of 2 years of experience in accounts payable or related financial roles; a degree in finance, accounting, or a related field is preferred. Technical Skills: Proficient in Microsoft Office Suite (Excel, Word, etc. ), and familiarity with accounting software (e.g., SAP, QuickBooks) is advantageous. Soft Skills: Creativity: Bring innovative ideas to improve accounts payable processes. Presentation: Ability to clearly communicate ideas and processes to team members and stakeholders. Personality Traits: Independent: Demonstrate self-motivation and the ability to work unsupervised while effectively managing time and responsibilities.
