NEP New Zealand is currently looking for an Accounts Payable Clerk & Office and Facilities Administration Assistant.
This position works within our Finance team based at our Parnell hub/studio facility.
The Position The Accounts Payable Clerk & Office and Facilities Administration Assistant will ensure accurate and timely delivery of Finance functions with a focus on accounts payable and accounts receivable and relevant processes.
They will also assist the smooth running of our Parnell broadcast facility.
Key Responsibilities including, but not limited to: Accounts Payable / Creditors: Ensure appropriate sign off and accurate coding of all supplier invoices.
Enter invoices into the Finance System, ensure correct GL, Job Coding, GST allocation and agree to the Job Management System.
Prepare weekly online payments including all supporting documentation for review by the Finance and Commercial Manager including international payments when required.
Maintain customer and supplier accounts in the Finance System.
Scanning of Accounts Payable invoices into the Finance System.Monitor the Accounts Payable Mailbox and respond in a timely manner.
Matching invoices to Purchase Orders in the Finance System, ensure correct GL, Job Coding, GST allocation.
Archiving of Accounts Payable and Accounts Receivables documents and destruction of dated documents.
Completing applications for Credit forms for suppliers Updating information into the Job Management System when required (e.g.
creation and maintenance of freelancers).
Reconcile creditors statements and resolve differencesResponsible for preparing and reconciling travel and Taxi chit accounts if required.
Preparing and reconciling the corporate credit card statements from individual invoices to full statement on a daily basis.
Update creditors cash flow forecasts numbers as requested.Accounts Receivables: Issuing facility invoices to clients as requested by Finance Manager and Commercial Manager.Set up customer accounts in T1.Office and Facilities Administration: Supervise NEP New Zealand reception area and respond to customer enquiries.
Security card programming, monitoring and maintenance for NEP, Entain, contractors and clients.
Maintaining the parking register and allocating car parks to new staff.
Maintain inventory of stationery, kitchen, bathroom consumables & staff amenities.
Liaise with and supervise cleaners, vending machine contact, milkman etc as required.
Assist with the filing, storage and security of documents.
Assist management in the documentation of office and facility processes and procedures where required.
Respond to general office administration enquiries.
Manage and report repair and maintenance requirements and maintain records.
Liaise with the building management if required.
Post / courier services – local and internationalSupervise general cleanliness of the office.In conjunction with Playout & Studios Operations Manager or designate:Arrange fire drills and act as Chief WardenAssist with administrating Health & Safety and site inductions for NEP, Entain, contractors and clients at Parnell baseAssist with arranging staff and client gifts and arranging staff functionsAssist with arranging flu vaccinations or other similar initiatives Required skills and attributes: 1+ year experience in Accounts Payable, office administration experience.
