Your responsibilities will include:
Masterfully managing the Head of Unit's schedule, making sure they're always at the right place at the right time. Attending meetings and undertaking minute taking functions including preparation and maintenance of documents, reports and presentations. Taking charge of important document preparation, ensuring accuracy and timely completion. Acting as the gatekeeper to the Head of Unit, screening and prioritising communications. Building effective and positive relationships with internal and external stakeholders. Being the go-to guru for the team and be on the ready to assist the team with tasks as they arise. You'll naturally be able to effectively anticipate the needs of your manager, have the ability to balance conflicting priorities and provide innovative solutions, all at the same time as ensuring our key partners, stakeholders and internal customers receive the best possible service.
You will also demonstrate and have the following skills and experiences:
Exceptional organisational and time management skills with keen attention to detail Stellar interpersonal skills - you're comfortable engaging with a diverse group of professionals. Initiative and adaptability - you're always looking for ways to improve processes and systems. A team player with a positive attitude - your can-do spirit brightens up any room. 5 years' experience as a Personal Assistant and/or business administration within a large organisation Ability to exercise discretion when dealing with confidential/ sensitive work Experience in managing senior executive internal relationships in both formal and informal contexts. Hours of work - this role could be a full time or part time position, with hours to suit your availability Position - Fixed term, six months Location - This position is primarily based at Te Hononga, Christchurch City Council Civic Offices - 53 Hereford Street Salary - The salary band for this position goes from $65,502 - $72,780 per annum based on a 40 hour week. Starting salaries will be based on knowledge, skills and experience the successful candidate brings to the role, and relativities both, within the immediate team and in the broader organisation for the same or similar roles.
