Mo tenei turanga mahi / About the role The Office Administrator reports to the Manager Finance and Performance and provides support to the broader Pharmacy Council team. The office is located on The Terrace in Wellington city in close proximity to rail and bus services. Key responsibilities include: Office administration Maintain sufficient office supplies, consumables, and systems for the shared workspace General administrative duties including answering the main phone line, mail and courier distribution and collection, print support for the operations team.Travel bookings including flights, accommodation, vehicles, associated invoicing, and itineraries. Assist with meetings, including conference bookings, catering, and room set-up.Ensure all office systems and processes are kept to a high standard.Procurement and invoicing.ICT support Provide office technical support and troubleshooting, focusing on resolving basic ICT issues and ensuring the smooth day-to-day running of Pharmacy Council's operations. This includes being the first port of call, escalating issues, and working with our ICT support provider to minimize disruption to daily work. SharePoint migration and administration: Engage with team members across the organisation to ensure that migration activities have minimal disruption to business-critical activities and ongoing administration is managed well.Ensure best cyber security practices are in place across the organisationHealth and safety Coordinate the activities of the joint H&S Committee with the Dental Council to ensure the Pharmacy Council office meets all health and safety obligations.Coordinate and maintain fire and first aid training for broader team.Ko koe tenei / About you The successful candidate will be proactive, organised, and have excellent relationship management skills to successfully navigate a broad range of responsibilities.  We are looking for someone who can work 32 hours per week (0.8 FTE). Ideally, we would like the successful applicant to work 6-7 hours daily, five days a week. However, we can be flexible for the right person. Nga pukenga me nga wheako / Skills and experience We would like to hear from you if you have the following skills and experience: Technical skills and confidence using the MS Office suite and SharePoint.Strong customer focus, with outstanding interpersonal and communication skills.Excellent attention to detail.Strong planning and organisation skills with the ability to self-manage and use your initiative.Flexibility and ability to adapt quickly in a reactive environment.It would be great if you had a basic understanding of Te Reo me ona Tikanga Maori and were willing to join the team in their learning of Te Reo Maori.Ra katinga / Applications close - Sunday, 10 November 2024.
