The Role As the Flu Vaccination Coordinator, you will play a pivotal role in ensuring the smooth running of the vaccination season. You will be the main contact for clients, vaccinators, and first aiders during the season – assisting them with their vaccination schedule and/or voucher programme – and ensuring all vaccinators & first aiders have the resources required to deliver vaccinations.
Key Responsibilities Liaise with clients to confirm details of their onsite vaccination service and/or voucher programme.Schedule onsite clinics using our Vitality Experience booking platform.Monitor employee uptake and assist with promotion of clinics as required.Storage, distribution & Cold Chain management of vaccines, including packing vaccine before morning clinics.Review & approval of timesheets/invoices relating to vaccinators and first aiders.Assist with client invoicing and other data entry as required by the team lead.Management & ordering of equipment, consumables, printing & vaccines.Manage enquiries in the flu vaccination inbox and assist with troubleshooting.Manage & coordinate the voucher and reimbursement processes (pharmacies & medical centres).Establish and maintain key strategic internal and external stakeholder relationships resolving conflicts and managing sensitivities.Lead and exemplify a healthy and safe working environment, modelling and promoting ethical behaviour and practices.Ensure consistent processes and procedures that are responsive to both customer requirements and government changes across all areas of the programme.Ensure services are adequately resourced and responsive to the needs of clients.About You At least 2+ years experience in a health admin or coordination role.Ability to start as early as 6.30am during the peak period (April/May).Strong verbal and written communication skills.Picks up new online platforms quickly.Strong computer literate skills.Well planned and organised.Able to work unsupervised and manage own workload.A strong focus on customer service.Able to start in the role in early Feb 2025 (flexible for the right person).Closing Date: 5th January 2025
