We are looking for an Executive Assistant to support our General Manager - Corporate Innovation. In this pivotal role, you will be the right-hand person, ensuring the smooth operation of the Corporate Innovation team and enabling the General Manager to focus on driving forward key strategic initiatives.
This role is central to the success of our Support Services functions, and you will be expected to anticipate the needs of the General Manager, providing resources, information, and solutions to support their leadership efforts. With competing demands, tight deadlines, and a constantly evolving work environment, you'll need to stay ahead of the game while maintaining a high degree of accuracy and efficiency.
Tino takohanga - Key responsibilities:
Provide professional, high quality executive support and secretarial services, administration coordination and project support to the General Manager to maximise efficiency and effectiveness
Administration coordination to include (but not limited to) travel, diary and email management, administration system management, meeting coordination and minute taking to meet expectations and ensure compliance with relevant policies and procedures
Assist with the preparation and presentation of key Group documents, any reporting obligations and communication requirements to both internal and external customers that meet General Manager's expectations
Identify opportunities for process improvement which deliver better services to the Group's customers and more effective and efficient ways of working
Have experience with information systems and the ability to assist with the Groups payment processing to meet requirements and timeframes
Effective handling of confidential and sensitive information
Actively ensure that legislative requirements and Council policies and procedures are fulfilled, particularly in relation to all key relevant legislation

Proven experience as an executive assistant or in a similar administrative role
Excellent organisational and time management skills, with the ability to prioritize tasks effectively
Strong written and verbal communication skills, with a keen eye for detail
Proficiency in using Microsoft Office Suite and other relevant software
Adaptability and a proactive approach to problem-solving
Ability to handle confidential information with discretion
Dealing with a diverse range of people
Assisting with project management or event management
