Volunteering for Coastguard is a team effort – requiring just as much precision and effort off the water as it does in the midst of an ocean rescue.Coastguard Units have a secretary who plays a key part in keeping the Unit running smoothly! They're responsible for record keeping and management of correspondence and administrative support to the Unit Board. Secretaries are an important part of every Unit's ability to keep everyone abreast of what is happening – from Unit board members and Unit volunteers as well as Coastguard New Zealand.Key responsibilities:Prepare and circulate an agenda for meetingsKeep a record of all meetings through the production of minutes which are circulated to Board members as soon as possible after the meetingReply to correspondence in consultation with the President or Unit Board, and maintain a file of all correspondenceCollate and publish the Annual ReportMaintain files of legal documents such as the constitution, leases and titlesPublish notification of the AGM, call for and receive nominations for the Board in accordance with the ConstitutionMaintain a register of members, office holders etc using the Coastguard databaseWe're looking for someone who:Can communicate effectivelyIs well organised and accurate in record keeping and minute takingCan maintain confidentiality on relevant mattersHas or develops a good working knowledge of the ConstitutionHas good word processingWhat happens next?Once we have received your application form, we will be in touch to have a chat with you about what skills and experience you can bring to Coastguard Mana.
